POSITION:    Event Coordinator ~ Verity’s 50th Anniversary Celebration!

Status:    Contracted Position – Please Submit Proposals.

Compensation:  Submit Bid Package including three most recent events coordinated; cover letter; fee for coordinating this event.  This is a competitive process based on expertise, knowledge, and successful event outcomes.

Reports to:  Verity Board of Directors and Executive Director

As Sonoma County’s sole rape crisis, trauma and healing center, Verity is a survivor-centered, mission-driven organization that values compassion, safety, and support. Verity supports social justice and equity for all adults and children who have been sexually assaulted. We are committed to ending sexual violence by working to eliminate the conditions that cause or tolerate it. We realize that the process to end the violence in our communities includes a collaboration of individuals, groups, and organizations. We are an active partner in that effort as a member of the community.

Position Summary:

The Event Coordinator is an experienced professional who is ambitious and optimistic, committed to coordinating and offering the highest quality experience in event planning to develop Verity’s 50th Anniversary Celebration in November 2024.  Verity, Sonoma County’s Rape Crisis, Trauma and Healing Center will be celebrating 50 years of providing services throughout Sonoma County to survivors of sexual violence, sexual assault and human trafficking.  As such we want to celebrate our history, our imprint on our community, our founders, and the many thousands of people who have been served by Verity over these 50 years.  This event will be one of joy and celebration and it is expected the successful candidate for this position will be knowledgeable about the rape crisis movement, and specifically the partnerships and collaborative efforts Verity has initiated on behalf of survivors over these 50 years.

Working under the supervision of the Executive Director and in coordination with the Board of Directors and specifically the Development Committee of the Board of Directors, this position will be responsible for organizing and producing a highly successful and memorable 50th anniversary celebration for Verity.  Activities related to this event include the following:

  • Identification of Theme for event
  • Location of Event and all logistical elements involved
  • Work with Communications Manager to create invitations, flyers, and promotional materials related to the event
  • Secure caterer for event
  • Ensure set up and clean up crew available for event
  • Organize and manage all event details such as décor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material, etc.
  • Work with ED and BOD to develop program for event, including speakers and honorees
  • Work with Grantwriter to access underwriting for the event
  • Specify staff requirements for the event and coordinate their activities
  • Ensure compliance with insurance, legal, health and safety obligations
  • If specific individual is to be honored at the event, honoree is notified, award ready, etc. for evening of event.
  • Ensure a fun filled event that will be remembered for years, gather new donors and supporters, and create an annual event
  • Work with the BOD to identify financial goal to be realized from the event.

Requirements and Skills

  • Proven experience as an Event Planner or Organizer
  • Impressive portfolio of previously managed events (weddings, meetings, parties, corporate events)
  • Excellent time management and communication skills
  • Capacity to connect with potential event underwriters
  • Excellent communication skills when working with staff and volunteers to create a truly memorable event.
  • Ability to manage multiple projects independently
  • MS Office proficiency
  • Submission of references from prior clients
