Summary of Responsibilities:

The Administrative Assistant will play a key supportive role to the administrative and executive team at Verity. They support and oversee the overall functioning of the office logistics and hold a keen understanding of all team systems and operations.


Essential Duties:


  • Performs reception and telephone duties including greeting walk-in clients and agency visitors.
  • Maintains and updates agency organizational charts, staff list, Board and Advisory Board lists.
  • Maintain office supplies and order new supplies as needed.
  • Ensure the office is organized and presentable.
  • Oversee staff morale and appreciation efforts such as holidays, birthdays, and other celebrations.
  • Draft and edit correspondence, emails, memos, and other documents.
  • Distribute internal and external communications.
  • Assist in the preparation of reports, presentations, and other documents.
  • Handle confidential information with discretion.
  • Perform general clerical duties such as photocopying, scanning, and faxing.
  • Collaborate with colleagues and other departments to achieve organizational goals.
  • Assists with hiring and onboarding processes.
  • Assists in preparing and maintaining agency Operational Agreements and Memorandums of Understanding
  • Assists with maintenance of all administrative filing systems, both electronically and in hard copies
  • Track and reconcile company expenditures and credit card receipts.
  • Support team members as needed,
  • Support event logistics as needed.

  • Excellent communication skills
  • Proficiency in office software, including Microsoft Office, Google Suite, Dropbox, Salesforce, Slack, and more.
  • Team-player, agile and responsive to multiple needs.
  • Ability to address and resolve administrative issues as they arise.
  • Ability to anticipate needs and proactively address them.
  • Able to prioritize tasks and manage time efficiently to meet deadlines and handle multiple tasks simultaneously.
